Description of Administrative Manager to Chairman/Managing Director

Oversees and coordinates the development and implementation of programs aimed at improving individual and organizational performance corporation wide. Communicates effectively, verbally and in writing.

Duties and Responsibilities:
• Pre-screen all documents, messages, calls for the Chairman-Managing Director, proof and make judgments regarding its appropriateness of content and context, and fine tune or finalize documents for the Chairman-Managing Director’s approval.
• Provide administrative assistance and secretarial support to employer in clerical, communications and organizational areas.
• Prepare correspondences (Letters of intent, Minutes of meetings) to clients, suppliers or contractors.
• Respond to general communications (e.g. telephone, facsimile, electronic mail etc).
• Handle confidential correspondences at Pan Ocean Office Headquarters for and on behalf of the Chairman-Managing Director.
• Monitor and control the filing systems of the employer and maintain the integrity of the system, and perform any other assignment as the personal assistant to the Chairman-Managing Director, as may be duly assigned within the CMD’s department
• Participates in the development of operating goals and objectives for the CMD’s office; recommends, implements and administers methods and procedures to enhance operations.
• Plan, develop, organize, implement, direct and evaluate the organization's administrative function and performance.
• Provide technical/professional advice and knowledge to others within the CMD’s office and discipline. Evaluate the CMD's office structure and team plan for continual improvement of efficiency and effectiveness , as well as providing individuals with professional and personal growth with emphasis on opportunities (where possible) for individuals.
• Maintains departmental reports and records, collects statistical data for administrative and/or quality improvement purposes.
• Performs miscellaneous job related duties as assigned.

Job Requirements:
• Bachelor’s degree with at least 5 years of experience directly related to the duties and responsibilities specified.

Knowledge, skills and abilities required:
• Skills in examining and re-engineering operations and procedures, formulating policy and developing and implementing new strategies and procedures.
• Records maintenance skills.
• Strong interpersonal skills and the ability to effectively communicate with a wide range of individuals.
• Ability to gather and analyze statistical data and generate reports.
• Ability to develop, plan and implement short-and long-range goals.
• Advanced analytical and critical thinking skills.
• Ability to design, develop, implement and evaluate training plans, curricula and methodology.
• Advance verbal and written communication skills and the ability to present effectively to small and large groups.
