Description of Proposals Coordinator

Position Summary:
Within the Business Development Group which comprises of Business Development, Process, Proposals / Estimation departments, the Proposals Co-ordinator has responsibility for co-ordinating and managing the estimating team and preparation of all pricing input into tenders and responsible for the quality and accuracy of the cost estimates produced, for coordinating the preparation of all tenders and pre qualifications and responding to various tender clarifications requested by our Clients, for the quality and accuracy of the various documents produced and for identifying and mitigating the risks being imposed on the company.

Essential Duties & Responsibilities:
• Monitor Projected Tendering /Pre Qualification Work Load and Identify Resource Requirement
• Liase with BD / Process / estimating & manufacturing departments to ensure that the projects that are being targeted are appropriate in terms of ability to undertake them and ability to win them
• Ensure Bid kick off meetings are held for all key Bids
• Assembly of Estimating/ Proposals Teams
• Monitor Proposal Preparation Progress in Terms of Schedule, Quality and Resource Costs, Ensure that cost generated matches scope, Project Execution, Methodology, Schedule, Resources and Qualifications in line with Bid Win Strategy.
• Liase with commercial manager to ensure Generation of Proposal Risk and Cash Flow Analysis
• Liase with Legal department on Proposal Terms and Conditions
• Ensure Proposal Reviews carried out periodically as per schedule.
• Address any queries that Client might have
• Establish Estimating Norms and Master Estimating Sheets
• Ensure that all Proposal Documents are comprehensively filed
• Handover all Proposal Documents to the Projects Team during handover meetings.
• In conjunction with Projects Execution Group Monitor actual costs and productivities and ensure that the most recent information is incorporated into Estimates
• To manage the performance of proposals engineers / applications engineers.

Skills required for Proposals Coordinator

Required Skills or Tools:
• Self motivating, Interactive, Mentoring Skills, Managerial Skills
• Job-Specific Skills: Oil & Gas – Proposals Experience

Preferred Education/Experience:
• Minimum Qualifications: Engineering Degree preferably Chemical Engineer
• Minimum Experience: 7- 10 Years
